Overview
The Fill Site Coordinator must be action orientated & have superior time management & communication skills.
Their position responsibilities include managing the day-to-day operational requirements of the GVA Aggregates Fill Site facilities. This involves leading & mentoring the fill site personnel & ensuring that they have all the correct information needed for incoming jobs, overseeing the scheduling of fill site clients, site visits & obtaining all appropriate paperwork to ensure environmental regulations are adhered to while demonstrating a strong commitment to safety. The Fill Site Coordinator is accountable for meeting each fill sites box total targets & effectively communicating with operations managers to ensure they have the appropriate equipment in place to handle the projected volumes to help keep operating costs down. To help ensure everyone’s safety in the Fill Sites the Fill Site Coordinator is the main point of contact for safety concerns & infractions in the fill sites. They must work closely with Plant Operations to quickly deal with concerns/infractions using our progressive discipline policy to discourage reoccurring infractions.

Ensure strict compliance with all health and safety rules and country regulations
Promotes safety guidelines & standards to customers & truckers hauling spoil into our Fill Sites
Promotes a culture of performance. Effectively develops goals and objectives to implement actions, track performance and continuously look for opportunities for improvement
Working with Accounts Receivable to aid with solving invoice disputes
Working with Gatekeeper to assist in all Credit & Rebills.
Assisting the credit department with the collection of customer payables
Be a significant contributor to the company's reputation as an industry leader & solution specialist
Continuously develops offerings to differentiate the company as the supplier of choice
Committed to finding solutions & adapting to customer needs
Work closely with TSM’s and CM to ensure customer booking prioritization is done accurately
Support TSM’s and CM with project management, entering quotes, and other administrative functions
Daily communication with operations with an emphasis on transparency – Import volume Vs. Reclamation schedule
Constantly communicate add on & cancelations with fill site managers to ensure proper equipment & personnel are on hand to handle the projected volumes
Forecasting box totals to help keep operating costs down
Working closely with TSM’s to ensure soils are safely transferred from our depots to permitted fill sites and aggregate hauled back whenever possible.
Obtaining Soil Acceptance Agreements for every excavation job to ensure the company is not held responsible for any material sent into our fill sites that contains any contaminates at concentrations exceeding the limits listed in in Schedule 3.1 of the BC CSR
Creating a detailed write up for each job site explaining the potential environmental concerns, if any
Ensure all fill meets Agricultural Land Use standards in BC CSR Schedule 3.1, and all fill is signed off by a Qualified Environmental Professional (QEP), including the soil analysis, stating that the concentrations for the screening parameters for all contaminants of concern are below levels for Agricultural Land Use that are presented in Schedule 3.1 of the BC CSR; Or a Stage 2 Environmental Site Assessment that it meets this standard.
Work closely with fill site personnel to ensure proper fill site log in procedures are being used & no trucks dump until the job is approved & all the appropriate paperwork is obtained
Make sure fill site & scale personnel have all the correct job addresses & purchase order numbers (if required)
Keeping fill site personnel motivated & accountable with an emphasis on mind on task to limit preventable mistakes

Indirect Reports: 0 Salaried, 0 Unionized hourly and 7 Non-union hourly
Relationships: Reports directly to the GVA Commercial Manager & work closely with Fill Site personnel, Scale Attendants, Territory Sales Managers & our Environmental Group.
5operating plants, 2 Operation located in Abbotsford, BC, 1 location located in Pitt Meadows, BC, 1 located in Mission
2 Transfer Stations, 1 located in Richmond, 1 located in Coquitlam.

Clear job sites for material acceptability & acquire the appropriate paperwork for each job
Work with the Risk Management Coordinator to deal with safety concerns/infractions in our fill sites
Education
Undergraduate Diploma or certification in related field preferred. Related work experience (3-5 years) will be considered as meeting the education requirement
Minimum of 3 years of construction or construction related experience
Proven team leadership
