Records Management Clerk
Our client, a government institution, is seeking a detail-oriented professional to support records management within the Procurement Services Branch. This role focuses on organizing, maintaining, and overseeing the migration of official records within the Corporate Purchasing SharePoint repository. The successful candidate will ensure that records are properly named, categorized, assigned metadata, and readily accessible in compliance with established guidelines. Additionally, they will develop clear process documentation to facilitate record access while ensuring compliance with organizational policies.

• 8-month contract with a maximum extension term of 3 months.
• Full-time position: 36.25 hours per week.

Responsibilities:
• Organize and categorize official records by renaming documents according to established nomenclature requirements.
• Maintain accurate and up-to-date records inventories, ensuring proper classification for easy retrieval.
• Assign appropriate metadata to all records for tracking, retrieval, and archiving.
• Ensure records are tagged with sufficient descriptive, administrative, and structural metadata per established standards.
• Create and maintain comprehensive documentation outlining processes for accessing, updating, storing, and disposing of records.
• Collaborate with departments to ensure process documents align with legal, compliance, and operational requirements.
• Implement systems for efficient record retrieval and train staff on record access and handling procedures.
• Ensure compliance with Procurement Services Branch records management requirements.
• Maintain a high level of confidentiality and security for sensitive records and data.
What you will need to succeed:
• High school diploma or GED.
• Education in records and archive management (nice to have).
• 4 years of experience in an information management environment working with records/documents.
• Experience with records management.
• 4 years of experience using Microsoft SharePoint (nice to have).
• 4 years of experience with Central Administration in a SharePoint environment (nice to have).
• 2 years of experience with Power BI reporting and SQL Server Analysis (nice to have).
